As a successful and rapidly expanding Biopharma Engineering Company based in Cork Ireland, we are looking to recruit an Administrator / Documentation specialist. The position is permanent and is site based in our Head Quarters, Little Island, Cork. The role comes at a crucial stage in the company’s continued growth; the successful candidate will play a key role in the continued and future growth of the company going forward.

About the role

The Administrator / Documentation specialist role is a dynamic role with responsibility for providing administrative support in multiple area’s across the company. The position requires strong organizational skills, attention to detail, and a proactive approach to problem-solving.

Duties and Responsibilities

  • Working closely with the production team to ensure a smooth flow of materials and products through the supply chain process, ensuring on-time delivery and maintaining efficient production schedules.
  • Oversee inventory control, ensuring optimal stock levels and reducing the risk of shortages or excess inventory. Monitor and track sub-supplier product orders to ensure timely fulfillment.
  • Build and maintain strong relationships with suppliers and vendors to ensure timely deliveries of raw materials, components, and finished goods.
  • Logistics Support: Collaborate with logistics teams to ensure the efficient transportation and delivery of goods, managing lead times, and coordinating shipping schedules.
  • Data Analysis and Reporting: Analyze data and performance metrics to identify areas for improvement. Provide regular reports and updates to management on supply chain performance.
  • Risk Management: Proactively address any potential disruptions in the supply chain, implementing contingency plans to ensure minimal impact on production.
  • Compliance and Documentation: Ensure compliance with all regulatory requirements, maintain accurate records, and support audits and inspections when required.

Additional Duties and Responsibilities:

  • Overseeing day-to-day office functions to ensure the office runs smoothly and efficiently.
  • Providing administrative support to staff and management, including handling correspondence, preparing documents, and scheduling meetings.
  • Answering phone calls, managing emails, and directing enquiries to the appropriate personnel.
  • Maintaining inventory of office supplies and placing orders as necessary.
  • Scheduling and coordinating meetings, appointments and travel arrangements for staff and executives.
  • Maintaining and organising office files, both physical and digital.
  • Supporting the organisation and execution of company events, including staff meetings, team-building activities and other corporate functions.

Key Requirements:

  • 5 to 7 years’ experience working in an office administration or a related role.
  • Excellent Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Familiarity with office management software.
  • Excellent written and verbal communication skills.
  • Strong organisational skills.
  • Ability to multitask and prioritise work effectively.
  • Keen attention to detail.
  • Ability to work well with others and contribute to a positive office culture.
