As a successful and rapidly expanding Biopharma Engineering Company based in Cork Ireland, we are looking to recruit an Administrator / Documentation specialist. The position is permanent and is site based in our Head Quarters, Little Island, Cork. The role comes at a crucial stage in the company’s continued growth; the successful candidate will play a key role in the continued and future growth of the company going forward.
The Administrator / Documentation specialist role is a dynamic role with responsibility for providing administrative support in multiple area’s across the company. The position requires strong organizational skills, attention to detail, and a proactive approach to problem-solving.
Working closely with the production team to ensure a smooth flow of materials and products through the supply chain process, ensuring on-time delivery and maintaining efficient production schedules.
Oversee inventory control, ensuring optimal stock levels and reducing the risk of shortages or excess inventory. Monitor and track sub-supplier product orders to ensure timely fulfillment.
Build and maintain strong relationships with suppliers and vendors to ensure timely deliveries of raw materials, components, and finished goods.
Logistics Support: Collaborate with logistics teams to ensure the efficient transportation and delivery of goods, managing lead times, and coordinating shipping schedules.
Data Analysis and Reporting: Analyze data and performance metrics to identify areas for improvement. Provide regular reports and updates to management on supply chain performance.
Risk Management: Proactively address any potential disruptions in the supply chain, implementing contingency plans to ensure minimal impact on production.
Compliance and Documentation: Ensure compliance with all regulatory requirements, maintain accurate records, and support audits and inspections when required.
Overseeing day-to-day office functions to ensure the office runs smoothly and efficiently.
Providing administrative support to staff and management, including handling correspondence, preparing documents, and scheduling meetings.
Answering phone calls, managing emails, and directing enquiries to the appropriate personnel.
Maintaining inventory of office supplies and placing orders as necessary.
Scheduling and coordinating meetings, appointments and travel arrangements for staff and executives.
Maintaining and organising office files, both physical and digital.
Supporting the organisation and execution of company events, including staff meetings, team-building activities and other corporate functions.
